A virtual fax allows incoming faxes to be sent to a central email address or even, using character recognition, to the appropriate person in the office via email. Outgoing faxes are sent using a web portal or by simply sending a standardised form email to a special email address. Virtual fax technology makes the entire process of sending and receiving faxes incredibly green and is one of the most popular additions of any business phone system.

On top of this, voice mail services handled by typical business phone services, is much more advanced than the typical machine or voice mail offered by a land line provider. Services such as forwarding calls to a cell phone and other similar features are all handled through the voicemail system. There are even a few business grade voice mail systems that are able to transcribe voicemails and send the transcripts to email, allowing the business person on the go, or in a meeting, to easily read their voicemail.
